Job Description
This is a varied and dynamic role that plays a critical part in the smooth running of the business and its workforce operations.
The Workforce Administrator is responsible for supporting all teams across Ethical Group, including the workforce, operations, HR and finance teams, as well as providing executive support to the Leadership team as required. Exceptional attention to detail is essential for success in this role.
This is a full-time, fixed-term contract to be based in our central Bristol office. This is offered as a full-time 37.5 hours per week role however, we may consider offering it as either a part-time position or a job share for the right candidates.
We support flexible working, and a TOIL policy is in place to ensure time off is managed in lieu of any hours worked outside of normal office hours.

Key Responsibilities
Workforce Administration
- Supporting the Workforce department with the screening, shortlisting, interviewing, recruiting, onboarding, sourcing, scheduling and deployment of staff / volunteers for events using workforce management software.
- Conduct interviews with potential candidates.
- Communicate with candidates throughout the recruitment process
- Managing staff and volunteer availability, including shift management and scheduling changes.
- Supporting the Marketing and Communications team where required.
- Supporting the Operations team where required with scheduling, logistics and pre-event administration.
- Maintain internal employee records, ensuring compliance with HR policies and legal requirements.
- Assist the Operations team in tracking attendance whilst staff are on-site, both remotely and in person as required.
Office Management
- Serve as a point of contact for inquiries and concerns, fostering a positive work environment.
- Participate in the development and implementation of HR policies and procedures, ensuring alignment with company goals and legal standards.
- Act as the first point of contact for general office inquiries.
- Book travel and accommodation for the workforce as needed.
- Oversee day-to-day office operations, ensuring organisation and efficiency.
- Manage office supplies, layout, and maintenance, including repairs and upkeep.
Executive Support
- Provide comprehensive administrative support to the Directors where required, including diary management, document drafting and communications support.
- Organise and attend meetings, taking minutes, ensuring effective communication and follow-up.
Finance Support
- Process incoming receipts and expense claims, ensuring project expenditure is tracked and reported.
- Assist the finance team as needed with administrative tasks such as finding paperwork and entering bills onto Xero.
You may be required to undertake such other reasonable duties from time to time as the Employer may reasonably require.
Required Skills and Experience
You’ll need to have:
- Proven experience in at least one of the following areas: administration, recruitment, staffing or workforce coordination, office management, executive administration
- Exceptional attention to detail, with a systematic and well-organised approach to tasks and projects
- Be a confident communicator with strong interpersonal, verbal, and written communication skills
- Proficiency in MS Office, Google Suite, and workforce management software tools
- Data management skills, with direct experience of building and maintaining spreadsheets on both Excel and Google Sheets.
- Ability to manage your time effectively, while prioritising tasks and project work effectively under pressure
- Flexibility and adaptability to changing workloads and priorities
- A problem-solving approach to work
- Experience of working within project management frameworks
- Experience in either the staffing, festivals or events industry
Additional Desirable Skills (not essential)
- Full UK driving licence
- Knowledge of employment law and compliance requirements
- Experience with Xero accounting software
Hours
We have flexible working hours in our office, with team members expected to be available in our core hours of 10 am-4 pm, Monday to Friday. This Role is offered as a full-time role however, we may consider offering it as either a part-time position or a job share for the right candidates.
