FAQ

At Ethical Staffing we are proud to be a fully accredited real Living Wage Employer. This means that our minimum pay rate will always be at least £13.15 per hour plus holiday pay for London event staff, and £12 per hour plus holiday pay for event work based outside of London. Please remember that this is a minimum rate of pay, and depending on the roles on offer we often pay more!

All of our event staffing roles are paid. If you’re interested in volunteering at a festival check out our sister company, My Cause UK.

The real Living Wage is a voluntary rate paid by employers who choose to go above and beyond the government minimum to ensure their staff are always paid a wage that covers the cost of living. It is significantly higher than the “living wage” which is the minimum wage an employer can legally pay staff.

When you apply for an event staffing role on our website, please make sure you read all of the information available for that event, it will tell you when you need to arrive and how long you need to be onsite for. Please remember for multi-day events and festivals we may require you to attend pre-event training the day before your first shift.

Each event job has differing uniform requirements, so please make sure you check these before arriving on site.

No, it is your responsibility to arrange your own transport. For some events there may be free shuttle buses available and information on this can be found on the festival specific pages. We will also email you all the information you need before the festival. If you decide to drive to a festival please ensure you have indicated this on your application. Wherever possible we will arrange free parking in a staff car-park but we can only do this if we have details of your car registration in advance.

Yes! You need to provide your own tent (s) and all other camping equipment. Our campsite has access to showers, toilets and our crew marquee with tea, coffee, and mobile phone charging points!

Yes, for our weekend camping festivals you’ll be given one meal ticket per shift. We will also try to provide catering for day events but you should check the festival-specific page for more information. Wherever we go we always make tea, coffee and drinking water available.

Yes! Each team member must apply individually, but if your applications are all successful we will do our best to match your shifts up as close as possible with your friends if you let us know who they are. We can’t guarantee that your roles will be in the same location but we will try our best to ensure that you will be working at the same times so you can enjoy your time off together, and share transport.

All shifts over 6 hours will be entitled to a 30-minute break. Where possible, we will try and arrange this at your request but please remember that this might not always be possible.

This varies from festival to festival, so please check the festival specific info. Feel free to get in touch with us if you have any questions about this. Under no circumstances should you bring a live in vehicle to an event without getting prior authorisation from the team at HQ first!

For all of our festival roles, will get you a crew wristband that allows you to enjoy the event when you are not working.

Before you sign up

All of our roles are open to everyone, so long as they have the right to work in the UK. We aim to create an environment that realises, challenges and utilises everyone’s skills. While it can be demanding, should you have any specific access requirements or health conditions, you can discuss this with us in advance or you can provide details on the relevant section of your PARIM profile when you sign up.

Before you sign up for an event, please have a look at the specific roles that we are undertaking at the festival. You can see this on each festival information page. If you have any questions about the roles please get in touch with us directly at info@ethicalstaff.co.uk

On your application form, you will have the opportunity to detail anything that you think we should be aware of. Entering your medical and/or access information will not have any impact on your chances of being offered a role with us, it will simply prompt us to get in touch with you so we can discuss whether we need to make any reasonable adaptations to your role or work environment to ensure you are able to do your job and can have the best experience possible. If you have forgotten to fill this in, or have been recently made aware of a reason why you may need assistance on site then please get in touch with the team at info@ethicalstaff.co.uk

Access requirements

Ethical Staffing welcomes deaf and disabled team members. If you have any access requirements, make sure you provide this information in your PARIM profile when you sign up and we will get in touch to make sure we’ve understood correctly and to ensure we know how to best support you on site.

There are many measures we can take to provide support, such as allocating you to specific accessible roles, providing a closer parking space, or bringing a Personal Assistant (PA) onsite. Please note that Ethical Staffing are not able to cover personal expenses incurred by any volunteers when traveling to, from, or around festival sites.

If you do not declare a condition which could affect your ability to work with us, Ethical Staffing may not be able to provide the support you need. Please send us any relevant information as soon as you can so that we can facilitate a seamless experience.

All advertised event staffing roles are based on our clients requirements. We reserve the right to amend these at any point based on the changes in our clients requirements.

Before you join us onsite, you will receive detailed brief about your events job, arrival, briefings and any other important information. If it’s a weekend camping event we’ll also send you details on camping and what to bring with you.

When you join us onsite you can expect to be treated as part of our family! This means respect from our managers, supervisors and other team members. You will have food, access to tea and coffee and often a chill-out area at larger events. A member of the Ethical Staff management team will always be available for any queries or support that you need.

Want to join our temporary event staffing team? First, you’ll need to fill out an application form where you can tell us about your experience & what events work you’re interested in. One of our recruitment team will then arrange to have a telephone or Zoom interview with you, and if successful we will set you up on our PARIM shift system where you will be able to choose any roles that you are interested in working at, and be the first to find out about exciting new temporary event staffing opportunities!

Once you have filled out event staff application form, a member of the Ethical Staff team will assess your application. If successful, you will be invited to have an interview within 4 weeks of your application. Unfortunately due to the number of applications we receive we cannot always let you know if your application has been unsuccessful. Please note – if we do not have any events on our calendar within the next 3 months you will not get a callback until we have events coming up.

Some of our event staff employment opportunities may require experience in certain areas but we have roles that are suitable for all abilities, so we’d love to hear from you, no matter your experience. We interview everyone individually and we consider your skills, values and ability, as much as your experience, as part of our inclusive recruitment program.

If you’d like to do events work with a friend, you will all be asked to apply separately and you’ll be assessed individually. If successful, you’ll be able to apply to work at the same event together, and if possible, we can do our best to try and make sure you work similar shifts. But you’ll need to make sure that you let us know when we confirm your place at an event.

We’re always on the look out for event staff superstars who have all of the right skills to look after and lead our teams. We recommend signing up to our mailing list, so you’re in the know about what events we have going on, and emailing over your CV and a cover letter to team@ethicalstaff.co.uk

We recommend joining us at one of our events first, so you can get to know us and our team. It will give you the opportunity to see how we work and find out more about any opportunities we might have.

You only need to fill out our full event staffing application form once, so if we add a new event that you’d like to be considered for you will need to pop us an email. Our email address is team@ethicalstaff.co.uk

If an event cancels for any reason, we will communicate this with you directly by email, and then cancel your position at this event.

PARiM Staff Guide

PARiM is the app we use to allow our team to accurately manage their time & shifts. Using PARiM to clock in and out of your shifts is a critical part of accurately recording your working hours, and failure to maintain your timesheets may lead to delay in payment.

You can download the PARiM app on any smartphone, or log into it directly on a web  browser on a smartphone, tablet or computer. Successful applicants who are joining our team for the first time will be set up on PARiM and receive their credentials, after completing the onboarding process.

We will populate your profile on PARiM with the information we need on there, so there is no need to add additional info, as we store this on your record external to PARiM.

We ask that all staff have their location services turned on for PARiM, to ensure the clocking records are accurate.

CONFIRMING SHIFTS IN PARiM

A yellow shift, with an orange or red dot, is an unconfirmed shift – this means that you have not yet confirmed this shift, and should do so ASAP.

If for any reason, you cannot attend a shift, please let us know by sending us an email – it is always useful to do this as early as you can, to allow us to make necessary changes.

CLOCKING IN AND OUT ON PARiM

The screenshots above show how you should clock in for your shift whilst working with  Ethical Staffing:

1. At the shift start time, you should click the clock in on the shift.

2. This screenshot shows the timer for your shift running – you are now clocked in. When your shift is over, click the clock out to end your shift.

3. This page is where you confirm your timesheet.

4. The hours are now confirmed by you and ready to be checked by a member of the office team.

PAY RUN

Unless you are informed otherwise, you will be paid for your assignments on our 2 weekly pay run. Work between the first Monday and second Sunday of the fortnight will be paid by the Friday after the fortnight.

If you have timesheets with the following issues, there will likely be a delay to payment, while we ask our on site contact to confirm hours:

a. LATE CLOCK IN

b. LATE CLOCK OUT

c. CLOCK IN OFF SITE

d. CLOCK OUT OFF SITE

e. UNAUTHORISED EARLY CLOCK OUT

f. NO CLOCKING DATA

We’re always on the lookout to work with new events and festivals! You can Request A Quote via our website and a member of our team will contact you. Do ensure you include as much information as possible so we can tailor our services to your event needs.

We can cover all of your front line event staffing needs, either providing a team to work alongside your existing management or providing full operational management for an area of your event. Key areas include Gates, Box Office and Accreditation, Internal and External Stewarding, Hospitality and Bars, Promotional Activation and General Customer Service roles.

We have roles at events and festivals across the UK. Mainly the biggest and best music festivals! We have worked at the likes of Boomtown, Love Saves The Day, All Points East, Glastonbury, Tramlines and many more. Most of the event staffing roles we offer are front-line roles, such as box office, ticketing, gates, stewarding, hospitality and customer service roles. We’re also always on the lookout for superstars who can supervise and lead our temporary event staffing teams.

For most of our events work, you’ll be asked to wear clothing that is practical and comfortable, but we may provide you with an event t-shirt or a hi-vi for the duration of the event. We’ll always let you know what clothing is suitable for the role you’re applying for when you’re confirmed for that event.

No, we don’t currently offer any travel to events. It is your responsibility to get yourself to and from the event. For some events there may be local shuttle buses – if there are we’ll let you know. Where possible we will arrange a parking pass for you if driving, but we encourage you to lift share where possible and will send out links to a crew page where you can organise lifts before an event.

We will do our best to assign you shifts at a show according to your preference but cannot guarantee that we will be able to offer you your desired shifts. We will always give you an idea of how many hours you can expect to work at an event via the information on our event pages and arrival information. Your shifts will always be assigned to you in advance via Parim.
